The 5-Minute Missed-Call Text-Back

A caller who reaches your voicemail is already dialing your competitor. Here's how to stop that automatically.

Somebody calls your business. You're on the other line, or driving, or with a customer. It goes to voicemail.

Most people don't leave one. They hang up and call the next name on their list.

You paid to make that phone ring. Ads, your website, a referral, your time at an event. And it just walked away.

Here's the fix. It takes five minutes and it runs by itself forever after.

How it works

When someone calls and you don't pick up, your system automatically sends them a text a few seconds later. Something like "Sorry I missed you — what do you need?"

Now instead of a dead end, you've got a text conversation. You can answer it when you're free.

Text messages get read. Somewhere around 95% of them, versus about 20% of emails. That's why this works when a voicemail wouldn't.

What you need

A GoHighLevel account with a phone number that came from GoHighLevel.

That last part matters and it's where people get stuck. Read the warning below before you start.

Step 1: Find the setting

In GoHighLevel, go to Settings. Then Phone System. Then Voice. Look for "Voicemail & Missed Call Text Back."

If your account is older, it might be under Settings, then Phone Numbers, then Advanced Settings instead. Same thing.

You're looking for a switch labeled "Missed Call Text Back."

Step 2: Turn it on

Flip the switch.

Step 3: Write the message

Click Customize. Keep it under 160 characters so it sends as one text instead of getting chopped into pieces.

Here's one that works:

Hi {{contact.first_name}}, this is [YOUR NAME] — sorry I missed you. What can I help with? Reply here and I'll get right back to you.

That {{contact.first_name}} part is a placeholder. When the text actually sends, it swaps in the person's real first name. Don't type it by hand — there's a menu or button in the message box that inserts it for you. Use that.

Step 4: Save it

Hit Save.

Step 5: Test it yourself

Don't skip this.

Take your cell phone. Call your business number. Let it ring until it goes to voicemail. Hang up.

You should get a text within about thirty seconds.

Then reply to that text. Go look in your GoHighLevel Conversations inbox. Your reply should be sitting there.

If both of those happened, you're done.

If the text never comes

Warning: This only works on a phone number that GoHighLevel gave you. If you're using your old business line and forwarding calls into the system, the missed call often doesn't register, and nothing sends.

The fix is to either get a number from GoHighLevel or transfer your existing number over to them. Transferring is called porting, it's free or close to it, and you keep your number. It takes a couple of weeks.

One thing not to do

Don't set up a second version of this using a workflow at the same time. Some tutorials will walk you through building one. If you have both running, people get texted twice, which looks broken and unprofessional.

Pick one. For most businesses, the simple switch you just flipped is the right choice.

What to do next

Watch what comes in over the next week. You'll probably be surprised how many people reply to a text who never would have left a voicemail.

Once it's running, the next step is having those texts lead somewhere — like a link to book a time with you. That's a different playbook.
